The pipeline is a tab inside Clients.
Add a lead
Click Add lead. Fill in who it is, what they're looking for, the estimated value, when they should decide and where they came from. Leads also arrive by themselves from A request form for your website and Scheduling links.
- Tags label a lead ("referral", "urgent"). Type one and press Enter or a comma. Up to 8 per lead.
- If the e-mail or the name is already on another lead or a client, the form tells you, with Open to go to it.
Your own stages
Owners and admins click Stages to set the columns of the pipeline.
- Rename a stage, change its colour, move it up or down, or add a new one (up to 10).
- Chance is how likely a lead at that stage is to close. It gives the weighted value.
- To delete a stage that has leads, pick where they go.
- Won and Lost are always there.
- Flag a lead as stalled sets after how many days a lead with nothing logged and no next step shows "Stalled" (14 by default).
Move it through the stages
On the computer, drag the card to the next column, or drop it on Won or Lost at the bottom. On the phone, use the move button on the card.
Board or list
On the computer, Board | List sits next to Stages. The list shows every open lead in one table you can sort by value, decision date, owner, next step or last activity.
Tick several leads to change them at once: the stage, the owner, a tag, or delete. Undo puts them back.
Filters
Next to the chips: Stalled, Owner, Source and Tags. They work on the board, the list and the reports. Clear filters shows everything again.
Follow-ups
Set Next step with a date. On that day you're notified, and it shows in Lead follow-ups on Home. Log calls, e-mails and meetings in the lead's History.
E-mail a lead
Send e-mail in the lead writes to them from gridOS, in your studio's look. Replies go to your own e-mail. The e-mail is saved in the lead's history, and a new lead moves to the second stage.
Win or lose
- Write a proposal opens a proposal for the lead. Sending it moves the lead to Proposal sent; when the client accepts, it's won.
- Won turns the lead into an active client, and can create their first project.
- Lost asks why.
Reports
Reports shows the open and weighted value, the win rate, the average deal and how long leads take to close. Expected closings spreads the open leads over the next six months by their decision date, with the overdue ones first. Below it are the win rate by source, why leads were lost, and the chance of each stage.
